Mechanical Construction Administrator

Salary: $65,000 - $75,000
Location: Kelowna, BC
We are seeking a Mechanical Construction Administrator to support the construction phase of mechanical projects involving HVAC and plumbing systems for hospitals, schools, residential, and high-rise buildings. This role is primarily focused on construction documentation, coordination, and records management, with a clear development path toward a Senior Mechanical Construction Administrator role. This position is ideal for professionals with early to mid-career experience who are looking to deepen their technical expertise and grow into a more field-focused construction administration role over time.
Reports to: Senior Mechanical Construction Administrator
Primary Objective
The Mechanical Construction Administrator provides administrative and technical support during the construction phase of mechanical projects. The role emphasizes documentation control, submittal and RFI management, and coordination with project stakeholders, while progressively building site review and field inspection experience.
Job Description
· Maintain accurate and organized project records, including drawings, specifications, correspondence, submittals, RFIs, site instructions, and reports.
· Log, track, and coordinate mechanical submittals and RFIs, ensuring timely review and distribution.
· Assist with the technical review of contractor submittals for completeness and compliance with contract documents.
· Support preparation of site review reports, deficiency lists, non-conformance reports, and punch lists.
· Coordinate document flow between internal teams, consultants, contractors, and clients.
· Maintain project documentation within construction management platforms.
· Assist senior staff in responding to site queries and resolving construction issues.
· Participate in site visits as required to build field knowledge and inspection experience.
Experience & Qualifications
· 1-3 years of experience in mechanical construction administration, engineering, consulting, or a related construction environment.
· Education or background in one of the following:
o Mechanical Engineering Technology
o Mechanical Engineering
o Trade background (Plumbing, HVAC, Pipefitting, Refrigeration) is an asset.
· Working knowledge of mechanical systems, construction documentation, and drawing interpretation.
· Ability to read and interpret mechanical drawings and specifications.
· Strong organizational and document management skills.
· Proficiency in Microsoft Word and Bluebeam Revu.
· Experience with construction management software such as Procore, Fieldwire, Newforma, Autodesk Build, and or Part 3 is an asset.
· Clear written and verbal communication skills.
· Detail-oriented, dependable, and comfortable working in a fast-paced construction environment.
